Job Description: STATEMENT OF DUTIES:The part time HR Data Specialist will be responsible for all Human Resource data entry into the Commonwealth HR/Payroll system and the HR module of Ellucian/Colleague. This position will also prepare reports and support the Human Resources office as needed with special projects.
ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:- Compiles data and prepares reports for multiple constituencies using various software programs and applications, including the Commonwealth HR/CMS, CIW Data Warehouse, Colleague and Hirezon/Interview Exchange.
- Enters data for all HR information changes (new hire, personal leaves, salary, position changes, classification adjustments, promotions, transfers, benefits etc.) updating both HRCMS and Colleague in a timely and accurate manner.
- Retrieves information from databases as necessary (HR/CMS, Colleague, Interview Exchange, benefit databases) to assist and support record maintenance or to generate reports as needed.
- Responds to information requests consistent with collective bargaining agreements or other management information needs.
- Works closely with payroll, business office, IT, and other departments as required to support HR data administration.
- Assists with internal and external audits.
- Provides other administrative support and special projects for the HR office, as needed.
Requirements: EDUCATION AND EXPERIENCEREQUIRED QUALIFICATIONS:- High school diploma/GED or higher required
- Experience working with Ellucian Colleague, HR/CMS or another HRIS system
- High degree of technical accuracy
- Ability to maintain accurate records
- An aptitude for process improvement
- Ability to work independently and as part of a cohesive team
- Experience handling sensitive information with confidentiality and integrity
- Experience working with spreadsheets and complex reports
- Proficiency with Microsoft Office
PREFERRED QUALIFICATIONS:- Experience working in higher education
- Experience with Colleague, HR/CMS strongly preferred
- Associate degree
Additional Information: POSITION STATUS: This is a part-time position with full benefits. The work schedule for this position will be Wednesday, Thursday and Friday, 8:00am-4:00pm for a total of 22.5 hours per week. Depending on experience this position can be either hybrid or fully remote.
